Author proof review
After acceptance, the final gate before publication is your author proof. What to check, which corrections are allowed, which are not, and the timeline.
What author proof review means
- After acceptance, the production team (at CJES: Thavy) prepares the typeset PDF that will be published
- The platform transitions status to "Author proof" and you receive an email with the link
- You see a special panel on your submission page with the typeset PDF and two buttons: "Approve" or "Request corrections"
- This is the final chance to catch errors before Online First publication
What to check carefully
- Title (Khmer + English) — correct spelling and formatting
- Author list — names, affiliations, ORCID iDs (check for truncation and misspellings)
- Corresponding author — email is correct
- Abstract — both languages
- Keywords — correct and well-translated
- Tables and figures — image quality, numbering, captions
- Equations and mathematical symbols — formatted correctly
- References — consistent format, DOIs/URLs resolve
- Acknowledgments — everyone you intended to thank
- COI and funding declarations — accurate
Corrections that ARE allowed
- Typographical and grammatical errors
- Wrong numbers (tables, dates, weights, percentages)
- Wrong author order
- Misspelled author names or affiliation names
- Wrong grant numbers
- Missing or misordered references
- Typesetting errors (spacing, formatting, page breaks)
- Low-quality figures to be replaced
Corrections that are NOT allowed
The following changes will be refused because they come after peer review has finished:
- New results or new analyses
- New references (except those needed because of reviewer requests)
- Substantive rewrites of sections
- Adding or removing authors (requires a separate Author Change Request)
- Changing the thrust of the conclusion
- Adding new tables or figures
How to send corrections
- On the Author Proof panel, click "Request corrections"
- List corrections clearly with:
— Location (page, line, or table/figure number)
— The correction requested
— Reason
- Example: "Page 3 line 12: change 2024 to 2025, which is the correct year of data collection"
- The platform forwards your request to the production team automatically
- They will upload a revised PDF and you will receive the proof notification again
Timeline
- Typical window for Author Proof: 3–5 days
- If you have not responded within 10 days, the editorial office will send a polite reminder
- Please do not sit on it — you are the last check before publication, and a post-publication corrigendum is editorially expensive
- If you will be away (travel, conference, etc.), tell the editorial office in advance
If you find an error after publication
- Contact the Editor-in-Chief immediately at [email protected]
- Small errors (typos) can be fixed by an Erratum — a short notice attached to the article
- Important errors (wrong results, wrong author list) may require a Corrigendum or, in serious cases, a Retraction
- The article's DOI stays the same — the Corrigendum/Retraction gets its own DOI linked to the original
